This Privacy Policy explains how ScribeFlow ("we", "us", "our"), operated by SEDO, collects, uses, stores, and protects your personal data when you use the ScribeFlow mobile application and related services (the "Service").
By using ScribeFlow, you agree to the practices described in this Privacy Policy.
1. Information We Collect
a) Account Information
When you create an account or sign in, we may collect:
- Email address
- Username
- Authentication information such as encrypted password or third-party login identifiers
b) Uploaded Content (Audio and Video)
ScribeFlow provides both online and offline transcription modes.
Online processing paths:
- Audio and video files may be sent to trusted third-party AI service providers for processing and transcription.
- Data may be temporarily transmitted to external servers solely for providing the Service.
Free plan:
- Free users receive a limited monthly transcription allowance and shorter maximum transcription length than PRO users.
- Depending on the processing path required for the service, audio or video data may be sent to trusted third-party AI service providers solely to provide transcription features.
Transcriptions may be stored in your account if you are logged in. Uploaded audio and video files are only temporarily stored for processing and are deleted afterward unless you choose to save transcripts.
We do not use your uploaded content to train our own AI models.
c) Technical and Usage Data
We may collect limited technical data such as:
- Device type
- Operating system version
- App version
- Basic operational error information and performance-related diagnostics
- Limited anonymous usage information where enabled
We do not collect precise location data.
2. How We Use Your Data
We use your data to:
- Provide transcription services
- Create and manage your account
- Improve app reliability and performance
- Provide customer support
- Prevent misuse, fraud, and abuse
We do not sell your personal data.
ScribeFlow uses automated artificial intelligence systems to generate text transcripts from uploaded audio or video files.
3. Data Storage and Retention
- Uploaded audio and video files are deleted after transcription processing, unless you choose to keep them.
- Transcription results are stored until you delete them or delete your account.
- Account data is stored while your account is active.
- We may retain limited data if legally required to comply with legal obligations.
Billing and Usage Data
We store plan status, transcription minute usage, and top-up or entitlement state where applicable in order to enforce usage limits and provide the Service. If paid purchase flows are enabled in a future version or distribution build, we may also store limited purchase-related records needed to manage those features.
Cloud Infrastructure
Our backend infrastructure is hosted on secure cloud servers operated by Hetzner Online GmbH located within the European Union. These servers are used to process transcription requests, store account data, and manage service functionality.
Server Log Data
Our servers may store limited operational logs such as request timestamps, job identifiers, and error logs to maintain service stability and prevent abuse.
4. Data Sharing
We do not sell or rent your personal data.
We may share limited data only with:
- Trusted third-party AI service providers who process data solely to provide transcription services
- Cloud infrastructure providers who process data on our behalf under confidentiality obligations
- Legal authorities if required by law
International Data Transfers
Some service providers used to operate ScribeFlow may process data in different countries. When this occurs, appropriate data protection safeguards are applied.
5. Data Security
We use reasonable administrative, technical, and organizational measures to protect your personal data. However, no system is completely secure, and we cannot guarantee absolute security.
6. Your Rights (KVKK and GDPR)
Under applicable data protection laws, including Turkey's Law No. 6698 (KVKK) and, where applicable, GDPR, you have the right to:
- Access your personal data
- Request correction of inaccurate data
- Request deletion of your data
- Object to certain processing

Users may delete their account and associated backend data directly within the app or by contacting [email protected]. When account deletion is completed, associated account records, uploaded media, transcripts, quota state, and premium or top-up state stored in our backend are deleted. Some store-provider purchase history may remain with the applicable app store provider where required by their systems.
7. Sensitive Content Warning
You should avoid uploading highly sensitive personal information such as medical records, government IDs, or confidential documents. If you upload such content, you do so at your own risk.
8. Cookies and Tracking
ScribeFlow is a mobile application and does not use browser cookies. We may use limited anonymous usage information to understand app performance and improve the Service where such functionality is enabled.
9. Children's Privacy
ScribeFlow is not intended for children under the age of 13. We do not knowingly collect personal data from children.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If changes materially affect your rights, we will notify you in the app. Continued use of ScribeFlow means you accept the updated Privacy Policy.
